Alcohol Policies Related to Entertainment Summary: This page explains the University's alcohol policy as related to entertainment and funding. Policy: The UCSC Alcohol and Drug Policy provides rules for serving alcohol at sponsored events. Important rules to remember as you plan an event where alcohol will be served:
Permit: Complete and submit a Permit To Serve Alcoholic Beverages On Campus (SC 40) form to Campus Police two weeks in advance if alcohol is to be served on campus during an event or gathering. Authorization to Approve Serving of Alcohol: The purchase of alcoholic beverages for a university activity is an exceptional entertainment expense requiring the approval of a Senior Administrative Officer who has been delegated authority to approve purchases of alcoholic beverages. Only the Campus Provost and Executive Vice Chancellor, Vice Chancellors, Assistant Chancellor, Deans, Provosts, University Librarian, and the Director of Lick Observatory have been delegated this authority by the Chancellor. This authority cannot be redelegated. Purchase of Alcohol: Alcohol for a university event may be purchased on a purchase order or by reimbursement. In the case of the purchase order, the pre-requisition must include written justification and the signature of the Senior Administrative Officer or Chancellor delegate. In the case of the reimbursement, a completed copy of the Permit To Serve Alcoholic Beverages On Campus (SC 40) form must be attached to the UCSC Entertainment and Student Programming Reimbursement Form when seeking reimbursement for alcoholic beverages. Funding Source: Alcoholic beverage purchases may not be charged to State funds or to Federal funds. Restaurants: For those occasions when a UCSC employee meets with others at a restaurant for business purposes and incurs an expense for alcoholic beverage served with the meal, Senior Administrative Officer approval is required for reimbursement of the exceptional expense.
