How to Hire Caterers for UCSC Events

Summary: Departments must hire pre-approved caterers to provide catering services to UCSC-sponsored events, or to bring food for resale on campus. This policy is in place to ensure the safety and well-being of University employees and guests and to reduce risk to the University.
Follow the steps on this page to provide catering services for University-sponsored events or to provide food for resale on campus.

How to do it:
1 Determine whether catering services are needed for a University-sponsored event.
  1. Caterers prepare and deliver food for University events. Food ordered and purchased from any legitimate vendor of food and beverages (grocery stores, delicatessens, etc.) and picked up is not considered catering.
  2. When students or staff order pizzas for non-University administered functions and pay for them with personal funds, the University has no liability, and no special regulations must be followed.
  3. If pizzas are to be served at University-administered functions and/or are paid for with University funds, standard catering procedures must be followed if the pizzas are delivered.
2 Select and contact caterer.
  1. Choose an on-campus caterer (University Food Service, campus restaurants or campus coffee shops) or any caterer on the UCSC List of Pre-approved Caterers.
  2. Negotiate rates for each event. No rates have been pre-set.
  3. Contact Purchasing before contacting or negotiating with any catering company not on the pre-approved list. See How to Add a Caterer to the UCSC List of Approved Caterers.
3 Initiate a Purchase Order.
What Purchasing does: How to do it:
1 Complete purchase.
  1. Review the purchase order for completeness and accuracy.
  2. Confirm that vendor is current on the pre-approved list, implying appropriate insurance coverage is provided.
  3. Complete the purchase order.
